From first contact to the student portal

Understand how lead capture, sales, and delivery fit together.

Before you start

Prepare your form, product, and program before sharing them.

Step by step

  1. A contact can arrive through a form, a connected booking service, or manual entry.
  2. Find the person in Leads and review their details. Use Pipeline to track the opportunity through stages.
  3. Record the payment or confirm it arrived from the connected payment provider. Moving a card does not collect money.
  4. Link the product to the programs it delivers before selling it.
  5. Check the customer record, enrollment, and portal access. Students must complete any required onboarding.
New contact: contact details, type, status, source, value, and notes before saving.
New product: choose Program for training access or Digital product for a downloadable file.
  1. Program grants training access.
  2. Digital product delivers a downloadable file.
Client portal: recordings, resources, and help are managed in separate areas.

Check each stage in the right place

A contact, an opportunity, a payment, and course access are related records, but they are not interchangeable. A won opportunity describes a sales outcome; it does not prove that a payment exists. Likewise, publishing a program does not automatically enroll a buyer.

To trace a case, use the person’s email and check their contact record, the Revenue transaction, the associated product, and the programs in Clients, in that order. If payment exists but access is missing, review the product-to-program mapping before recording another sale. Duplicate sales make the history harder to reconcile.

Troubleshooting

If access is missing, check the product and payment before creating another account. A different email can prevent the purchase from matching correctly.
